Menu -> Transaction -> Duty Roster Entry -> Terminal/GPS Attendance

There are two important steps, ie. Calculate and Post, to analyze the clocking data and post them to the Daily Duty Roster.

Step 1: Calculate - To calculate the In and Out data and join them into one daily attendance, with the result of Time In, Time Out and Shift Type, ie., Day, Night or - (Missed Punch).

You may edit the attendance data, and the Manual Flag will be updated to Yes upon saving it.

Step 2: Post - Once you are happy with the Joint Attendance data, you can post them into Daily Duty Roster, and then Posted To Duty Roster Flag will be updated to Yes after the process. 

Below are some notes to be aware of.

1. Attendance Data can only be posted when the Contracts In and Out Time are matched with the Attendance Time In and Out, before and after 1 hour Contract Time.

2. For either Contract Time In or Time Out. 

Eg. Contract In: 08:45, Out: 17:45; Attendance In: 08:36, Out: 21:43.


Analysis: The Attendance Data is valid for the 2 factors below.

1. Before and after 1 hour of Contract Time, ie., Contract Time In between 07:45 to 09:45; Contract Time Out between 16:45 to 18:45.

Attendance Time In: 08:36, it is between Contract Time In from 07:45 to 09:45. Matched!

Despite Attendance Time Out 21:43 is not between Contract Time Out from 16:45 to 18:45, Factor 2 is successfully matched with either Time In or Time Out. Please refer to the picture below.

The third thing you must be aware of. 

3. Attendance Time In and Attendance Time Out will be adjusted automatically to the Contract Time In and Contract Time Out.

Please take a look at the picture below, the Attendance Time has been adjusted to Time In 08:45 and Time Out 17:45.

The reason for this is to avoid paying Overtime without Office Approval. You may be able to change the Attendance Time In and Attendance Time Out for Overtime at Daily Duty Roster after posting in.

One more example. Please look at the picture below

Attendance Time In 12:05 and Attendance Time Out 19:35, this Attendance Data is valid for Factor 1 and Factor 2 with the Contract Time In 08:00 and Contract Time Out 20:00.

The Attendance Time Out 19:35 is between Contract Time Out from 19:00 to 21:00, despite Attendance Time In 12:05 is far from Contract Time In from 07:00 to 09:00.

The Attendance Time In and Attendance Time Out are not necessarily adjusted because they are not outside of the Contract Time.
